Tenant FAQ

Rent is due on the 1st of each month.  You are given a grace period through the 5th at 5:00 pm (regardless of weekends, holidays or postal delays). NO EXCEPTIONS!  If you pay after the grace period you will be assessed a $35.00 late fee on the 6th and then $10.00 a day until rent is paid in FULL.

We make paying your rent easy! You can pay electronically by clicking the Tenant Portal on the top menu bar of our website. That will take you to your Tenant Web Access (TWA) login. From your dashboard you can select Make A Payment. You can also sign up for automatic payments, so you never have to worry about being late! Alternatively, you can mail in a payment or drop the payment off at our office. We are open from Monday through Friday 9am to 5pm. If you miss us, we do have a drop slot next to our front door. We accept electronic payments through your Tenant Portal – TWA, personal checks, cashier’s check or money order made out to RMA. WE NEVER ACCEPT CASH!

Maintenance requests can be submitted through our website, click the MAINTENANCE REQUEST section of our website. These requests go through and are tracked by a software called Property Meld.  Or you can contact your property manager.

Non-Emergency maintenance requests may take up to one week to complete; owner approval and vendor schedules dictate the timeliness of these requests.  Another factor is you, our vendors call and schedule appointments with you so you need to be available. Typically most work can be completed within a few days provided the vendor can gain access to the property or has an appointment with you. Sometimes in the busy periods it can take up to a week. If parts need to be ordered, say for an appliance repair, the repair will be made as soon as part is available.

For Emergency maintenance please call (208) 377-8889 Option #4.  Some common examples of emergencies are water leaking causing flood, fire, natural gas leaks, and anything that threatens human safety. For Fire, Gas, or Natural Disasters call 911 first! If it is a true emergency the appropriate vendor will be contacted and the problem dealt with as soon as possible.

Cable has been around long enough that most properties already have the wiring and it is simply a matter of hooking up the service.  There are a few precautions to installing Satellite TV that need to be taken to prevent damage to the property, this is discussed in your lease agreement. Please read the “Cable/Satellite Dish/TV Request” form under Tenant forms. Tenants can sign up for any Internet services they choose. Digital Home Pro is our preferred vendor and can help with all of your cable, satellite and internet needs.

Realty Management Associates requires a 45 day notice to vacate prior to the expiration of your lease term. The Notice to Vacate is on our website or you can email your property manager. We send out Lease Extension letters to you about 60 days before your lease expires so you know when your lease expires and the options for extending your lease or vacating.   If you are on a month to month tenancy you are also required to give a 45 day notice.

If you have to vacate prior to the expiration of your lease term you will be responsible for paying a lease break fee equal to half’s month rent. Once that lease break fee payment is made Realty Management Associates will start marketing the property for rent and will do our best to get the property re-rented quickly.  You are still responsible for rent, utilities, yard care and marketing until a new lease is secured or until your lease expires.

After Realty Management Associates receives your notice to vacate, we mail you our Move-Out Checklist which details what items you are responsible for completing prior to turning possession back over to us.  The Move-Out Checklist also notes the amount of rent due for your last month of tenancy. You are required to give us a forwarding address.

In general the property must be returned in a professionally cleaned manner less normal wear and tear; plus all maintenance requirements deemed tenant responsibility must be completed. Therefore, a number of things need to take place. All drapes, blinds, and window coverings must be cleaned. The unit must also have been cleaned inside and outside. All personal items and garbage must be removed from the property. All the windows inside/out, screens, and tracks must be cleaned. RMA does have an approved vendor list for all your cleaning needs. Please call the office at 377-8889 for a list. New furnace filters need to be installed. If you have repainted the interior walls/ceilings an unauthorized color or you have caused damage to the walls with large or excessive nails and tacks you must paint the walls/ceiling to its original color/condition. If you vacate during the lawn mowing months, the grass must be trimmed within three days of vacating (during the dormant period of the year the yards must appear to have been trimmed and mowed at the end of the last growing season). Flower beds must be free of weeds. Trees and shrubs must be neatly trimmed. Please check your lease, addendums and Move-Out Requirements Checklist for further information and clarifications.

All keys need to be returned to our office. This lets us know you have officially moved out and we have possession of the property. Garage remotes should be left on the kitchen counter.  Security deposits or the disposition will be mailed to you within 30 days from the time keys are returned. It is very important that we have a forwarding address so this process is not delayed.

This is not our standard procedure.  The Move-Out Checklist details what items you are responsible for completing.  Our property managers conduct a thorough move out inspection once you have fully vacated the property.  They would be happy to send you the move out inspection report upon request. You will be notified of the results of the move-out inspection when you receive your ‘Disposition of Security Deposit’. If you would like to have a representative of RMA do a pre-move inspection please contact the office; the RMA representative can give advice on obvious maintenance or cleaning issues that need your attention. There is a $50.00 fee for this service that must be paid and will be added to your account.

Within 30 days of official move-out (which is when all keys have been returned to RMA) you will be sent an ‘Itemized Disposition of Security Deposit,’ which discloses any charges deducted from the security deposit. The balance of the security deposit (if any) will accompany that report. If a balance is due to the owner, it must be paid within 30 days or the account will be sent to legal collection. If a lease term is broken the security deposit may be held until a new tenant is secured.

If you choose to dispute the ‘Itemized Disposition of Security Deposit’, you must do so in writing ONLY within 30 days of receipt thereof. Your account will be reviewed and a second disposition statement will be issued within 30 days. Please check your lease for further information or clarification.
